Terms & Conditions

Please review our terms and conditions for participation in Hearth Summit 2025. Last updated: September 1, 2024

1. Introduction

These Terms and Conditions ("Terms") govern your registration for and participation in Hearth Summit 2025 ("Event"), organized by Hearth Climate Initiative ("Organizer"). By registering for the Event, you agree to these Terms in their entirety.

2. Registration and Payment

2.1 Registration is only confirmed upon full payment of applicable fees.

2.2 All prices are in US Dollars and include applicable taxes.

2.3 Early bird rates are available until June 30, 2025, after which standard rates apply.

2.4 The Organizer reserves the right to offer promotional discounts at its discretion.

3. Cancellation and Refund Policy

3.1 Cancellations received on or before August 25, 2025 will receive a full refund minus a $50 processing fee.

3.2 Cancellations received between August 26, 2025 and September 25, 2025 will receive a 50% refund.

3.3 No refunds will be issued for cancellations after September 25, 2025.

3.4 All cancellation requests must be submitted in writing to registration@hearthsummit.org.

3.5 Registration may be transferred to another individual at no additional cost by contacting registration@hearthsummit.org.

4. Event Changes or Cancellation

4.1 The Organizer reserves the right to alter the Event program, speakers, venue, or schedule without prior notice.

4.2 In the unlikely event of Event cancellation due to circumstances beyond the Organizer's control (including but not limited to natural disasters, public health emergencies, or government restrictions), the Organizer will offer either a full refund or transfer to a rescheduled Event date.

4.3 The Organizer is not responsible for any travel, accommodation, or other expenses incurred by participants in case of Event changes or cancellation.

5. Intellectual Property and Media

5.1 All Event content, including presentations, materials, and recordings, is protected by copyright and other intellectual property rights.

5.2 By attending the Event, you grant the Organizer permission to capture and use your image, voice, and likeness in photographs, videos, and recordings for promotional and documentation purposes.

5.3 Participants may not record, film, photograph, or capture Event content without prior written permission from the Organizer.

5.4 Participants may share Event experiences on social media using the official Event hashtag while respecting speakers' intellectual property rights.

6. Code of Conduct

6.1 All participants must conduct themselves in a professional and respectful manner throughout the Event.

6.2 Harassment, discrimination, or disruptive behavior of any kind will not be tolerated.

6.3 The Organizer reserves the right to remove any participant from the Event without refund for violation of the Code of Conduct.

6.4 Participants must comply with all venue safety and security protocols.

7. Liability and Insurance

7.1 The Organizer is not responsible for any loss, injury, or damage to persons or property, regardless of cause.

7.2 Participants are advised to obtain their own travel, health, and personal property insurance.

7.3 The Organizer's liability for any claim arising from the Event is limited to the amount paid by the participant for registration.

8. Data Protection and Privacy

8.1 The Organizer will collect and process personal data in accordance with its Privacy Policy, available at Privacy Policy.

8.2 By registering for the Event, you consent to the collection and processing of your personal data for Event administration, communication, and as otherwise described in the Privacy Policy.

9. Governing Law and Jurisdiction

9.1 These Terms are governed by and construed in accordance with the laws of the State of New York, without regard to its conflict of law principles.

9.2 Any dispute arising from these Terms or participation in the Event shall be subject to the exclusive jurisdiction of the courts of New York County, New York.

10. Amendments

10.1 The Organizer reserves the right to amend these Terms at any time. Amendments will be effective upon posting to the Event website.

10.2 Continued registration or participation in the Event following any amendment constitutes acceptance of the amended Terms.
